    Looking Professional on Video Calls

Video calls are a key part of remote work. Here's how to make a good impression.

    Before the Call

    Check Your Technology

    • Test audio and video before important meetings
    • Close unnecessary programs to improve performance
    • Have a backup plan (phone number to dial in)

    Prepare Your Space

    • Tidy background - Remove clutter behind you
    • Good lighting - Face a window or lamp
    • Quiet environment - Close doors, alert family

    Lighting

    The Basics

    • Light should be in front of you, not behind
    • Natural light from a window works well
    • Avoid sitting with a window behind you (silhouette effect)

    Tips

    • Position near a window for natural light
    • Add a desk lamp in front of you
    • Ring lights provide even, flattering light
    • Avoid overhead lighting alone (creates shadows)

    Camera Position

    Eye Level

    • Position camera at eye level
    • Use books or a stand to raise laptop
    • Look at the camera, not the screen, when speaking

    Framing

    • Centre yourself in frame
    • Show from mid-chest up
    • Leave some space above your head
    • Don't be too close or too far

    Audio Quality

    Use a Headset

    • Sounds much better than laptop speakers
    • Reduces echo and feedback
    • Helps you hear others clearly

    Reduce Background Noise

    • Mute when not speaking
    • Close windows if there's traffic noise
    • Use noise cancellation features

    Background

    Professional Options

    • Plain wall
    • Bookshelf (not too cluttered)
    • Virtual background (if appropriate)
    • Blur background feature

    Avoid

    • Messy rooms
    • High-traffic areas
    • Windows (lighting issues)
    • Personal items you don't want seen

    During the Call

    Be Present

    • Stay focused on the meeting
    • Keep camera on when possible
    • Make eye contact (look at camera)
    • Nod and react to show engagement

    Mute Management

    • Mute when not speaking
    • Unmute before you talk
    • Use keyboard shortcuts for quick muting

    Be Patient

    • Wait for others to finish (slight delay is normal)
    • Allow for technical issues
    • Have patience with internet hiccups

    Common Issues

    Audio Problems

    • Check you're not muted
    • Verify correct microphone is selected
    • Leave and rejoin the meeting

    Video Problems

    • Check camera isn't covered
    • Verify correct camera selected
    • Close other apps using camera
