    How to Use a Password Manager

    What is a Password Manager?

    A password manager is an app that:

    • Stores all your passwords securely
    • Fills in passwords automatically
    • Generates strong passwords for you
    • Works across all your devices
    You only need to remember one master password.

    Why Use a Password Manager?

    Without a password manager:

    • You might reuse the same password
    • You might write passwords on sticky notes
    • You might forget passwords frequently
    • Your passwords might be weak
    With a password manager:
    • Every account has a unique, strong password
    • Passwords are encrypted and secure
    • Logging in is faster and easier
    • You never forget passwords

    Setting Up a Password Manager

    Your organisation may provide an approved password manager. Check with IT first.

    Common Password Managers:

    • Microsoft Authenticator (built into Microsoft 365)
    • 1Password
    • LastPass
    • Bitwarden

    Step 1: Create Your Account

    • Download the password manager app
    • Create an account with your email
    • Set a strong master password
    Important: Your master password must be:
    • Long and strong
    • Something you'll remember
    • Never used anywhere else
    • Never written down

    Step 2: Add Your Passwords

    Most password managers offer:

    • Import from your browser
    • Add manually one by one
    • Capture when you log into sites

    Step 3: Install Browser Extension

    Install the extension for your browser to:

    • Automatically fill in login forms
    • Suggest saving new passwords
    • Generate strong passwords

    Using Your Password Manager Daily

    Logging into Websites:

    • Visit the website
    • The password manager icon appears in the login field
    • Click it to fill in your credentials
    • You're logged in!

    Creating New Accounts:

    • When creating an account, click the password manager icon
    • Choose Generate Password
    • Use the suggested strong password
    • It's automatically saved

    Tips for Password Managers

    Do:

    • Use a strong master password
    • Keep the app updated
    • Use it for all your passwords
    • Set up on all your devices
    Don't:
    • Share your master password
    • Write down your master password
    • Use an unapproved password manager for work accounts
