How to Set Up Two-Factor Authentication (2FA)

What is Two-Factor Authentication?
Two-factor authentication (2FA) adds an extra layer of security to your accounts. Even if someone knows your password, they cannot access your account without the second factor.
Types of 2FA
Authenticator App (Recommended)
- Microsoft Authenticator, Google Authenticator
- Generates time-based codes
- Works without internet once set up
- Codes sent to your phone
- Less secure than authenticator apps
- Better than no 2FA
- Codes sent to an alternative email
- Least secure option
Setting Up Microsoft Authenticator
Step 1: Download the App
- Open the App Store (iPhone) or Google Play Store (Android)
- Search for "Microsoft Authenticator"
- Download and install the app
Step 2: Add Your Account
- Open Microsoft Authenticator
- Tap + to add an account
- Select Work or school account
- Choose Scan QR code
Step 3: Link to Microsoft 365
- Go to mysignins.microsoft.com/security-info
- Sign in with your Microsoft 365 account
- Click Add method
- Select Authenticator app
- Follow the prompts to scan the QR code
Step 4: Test It
- Sign out of Microsoft 365
- Sign back in
- You should be prompted for the second factor
- Approve the notification or enter the code from the app
Using 2FA Daily
When signing in:
- Enter your username and password
- Open Microsoft Authenticator
- Approve the notification or enter the 6-digit code
- Enable notifications for quick approval
- Keep your phone charged and accessible
- Have a backup method configured
What If I Lose My Phone?
If you lose access to your authenticator:
- Contact IT support immediately
- We can help you regain access
- We will help you set up 2FA on your new device
