    Setting Up Recurring Meetings in Teams

    Regular team catch-ups, weekly standups, or monthly reviews need recurring meetings. Here is how to set them up in Microsoft Teams.

    Create a Recurring Meeting in Teams

    From the Teams Calendar

    • Open Microsoft Teams
    • Click Calendar in the left sidebar
    • Click New meeting (top right)

    Add Meeting Details

    • Enter a title for your meeting
    • Add attendees in the Required or Optional fields
    • Set the start time and end time for the first occurrence

    Make It Recurring

    • Click Does not repeat (below the date/time)
    • Choose a recurrence pattern:
    - Daily — every day or every X days - Weekly — same day(s) every week - Monthly — same date or day (e.g., first Monday) - Yearly — annual meetings - Custom — for specific patterns

    Weekly Meeting Example

    To set up a weekly team meeting every Monday at 9am:

    • Set date to the first Monday
    • Set time to 9:00 AM
    • Click Does not repeat
    • Select Weekly
    • Ensure Monday is checked
    • Set Recur every 1 week

    Fortnightly Meeting Example

    • Click Does not repeat
    • Select Weekly
    • Check the day of the week
    • Change Recur every to 2 weeks

    Monthly Meeting Example

    For the first Tuesday of each month:

    • Click Does not repeat
    • Select Monthly
    • Choose Day and select First Tuesday
    • Set to recur every 1 month

    Set an End Date (Optional)

    You can set the recurrence to:

    • No end date — continues indefinitely
    • End by — stops on a specific date
    • End after — stops after a number of occurrences

    Add a Channel (Optional)

    To hold the meeting in a Teams channel:

    • Click Add channel
    • Select the team and channel
    • All channel members will see the meeting

    Save the Meeting

    • Review all details
    • Click Save or Send
    • All attendees receive the recurring invitation

    Edit a Recurring Meeting

    Edit One Occurrence

    • Find the meeting in your Calendar
    • Click on the specific date you want to change
    • Click Edit
    • Choose Edit this occurrence
    • Make changes and save

    Edit the Entire Series

    • Click on any occurrence
    • Click Edit
    • Choose Edit series
    • Changes apply to all future meetings

    Cancel Occurrences

    Cancel One Meeting

    • Click on the meeting occurrence
    • Click Cancel meeting
    • Choose This occurrence
    • Optionally add a cancellation message
    • Click Send cancellation

    Cancel the Entire Series

    • Click on any occurrence
    • Click Cancel meeting
    • Choose All meetings in series
    • Click Send cancellation

    Common Recurrence Patterns

    Every Weekday

    • Select Weekly
    • Check Monday through Friday
    • Recur every 1 week

    First Monday of Each Month

    • Select Monthly
    • Choose First Monday
    • Recur every 1 month

    Every Quarter

    • Select Monthly
    • Choose your preferred day
    • Recur every 3 months

    Specific Days Only

    • Select Weekly
    • Check only the specific days (e.g., Tuesday and Thursday)
    • Recur every 1 week

    Best Practices

    Include an Agenda

    Add a meeting agenda in the description so attendees know what to prepare.

    Set Appropriate Duration

    • Quick standups: 15-30 minutes
    • Team meetings: 30-60 minutes
    • Strategy sessions: 60-90 minutes

    Consider Time Zones

    If attendees are in different time zones, Teams will show their local times. Choose a time that works for everyone.

    Add a Teams Link Automatically

    Teams meetings automatically include a join link. You do not need to add it manually.

    Mobile Setup

    Teams Mobile App

    • Open Teams app
    • Tap Calendar
    • Tap the + button
    • Fill in meeting details
    • Tap Does not repeat and set recurrence
    • Tap Done or the checkmark
