How to Schedule a Microsoft Teams Meeting

Scheduling a Teams Meeting
There are several ways to schedule a Teams meeting.
From Microsoft Teams
Step 1: Open Calendar
- Open Microsoft Teams
- Click Calendar on the left sidebar
Step 2: Create New Meeting
- Click New meeting in the top right
- Or click on a time slot in the calendar
Step 3: Add Meeting Details
Fill in the details:
- Title: Give your meeting a clear name
- Required attendees: Add participants
- Date and time: Set when the meeting starts and ends
- Details: Add an agenda or description
Step 4: Send
Click Save to send invitations to all attendees.
From Outlook
Step 1: Create Meeting
- Open Outlook Calendar
- Click New Meeting
Step 2: Add Teams Link
- Click Teams Meeting in the toolbar
- A join link is automatically added
Step 3: Complete Details
Add attendees, subject, and time as usual.
Step 4: Send
Click Send to invite everyone.
Scheduling a Channel Meeting
For team-wide meetings in a specific channel:
- Open the channel
- Click Meet > Schedule a meeting
- Everyone in the channel will be invited
Recurring Meetings
For meetings that happen regularly:
- Create a new meeting
- Click Does not repeat
- Choose frequency (daily, weekly, monthly)
- Set end date or number of occurrences
- Save
Inviting External Guests
You can invite people outside your organisation:
- Add their email address to attendees
- They'll receive an invitation they can join from any browser
- They don't need a Teams account
Meeting Options
Customise your meeting settings:
- After creating the meeting, open it
- Click Meeting options
- Configure:
