    How to Use Find and Replace in Word

    What is Find and Replace?

    Find and Replace lets you:

    • Search for specific words or phrases
    • Replace them with something else
    • Do it all at once throughout a document
    It's perfect for:
    • Fixing repeated typos
    • Updating names or terms
    • Changing formatting consistently

    Finding Text

    Basic Find

    • Press Ctrl + F (or Cmd + F on Mac)
    • Type what you're looking for
    • Word highlights all matches
    • Click arrows to jump between matches

    Navigation Pane

    When you search:

    • A navigation pane opens on the left
    • Shows all instances of your search
    • Click any result to jump to it

    Find and Replace

    Step 1: Open Find and Replace

    Press Ctrl + H (or Cmd + H on Mac)

    Or:

    • Click Home tab
    • Click Replace (in Editing group)

    Step 2: Enter Your Terms

    • Find what: Type the text to find
    • Replace with: Type the replacement text

    Step 3: Choose an Option

    • Replace - Replace one at a time
    • Replace All - Replace every instance at once
    • Find Next - Skip to the next match

    Examples

    Fix a Misspelling

    Find what: teh Replace with: the Click: Replace All

    Update a Company Name

    Find what: ABC Company Replace with: ABC Corporation Click: Replace All

    Remove Extra Spaces

    Find what: [two spaces] Replace with: [one space] Click: Replace All

    Advanced Options

    Click More >> for additional options:

    Match Case

    Only finds exact uppercase/lowercase matches.

    Find: "Project" (won't find "project")

    Find Whole Words Only

    Won't match partial words.

    Find: "the" (won't find "there" or "other")

    Use Wildcards

    For pattern matching (advanced users).

    Tips for Find and Replace

    Be careful with Replace All:

    • It can't be undone with one click
    • Review a few replacements first
    • Consider replacing one by one for important documents
    Check your results:
    • After Replace All, scroll through the document
    • Make sure changes look correct
    Case sensitivity matters:
    • "John" and "john" are different if Match Case is on

    Undo Mistakes

    If you make a mistake:

    • Press Ctrl + Z to undo
    • You may need to press it multiple times
