What is OneDrive?
OneDrive is Microsoft's cloud storage service included with Microsoft 365. Your files are:
- Backed up to the cloud
- Accessible from any device
- Shareable with colleagues
- Protected if your computer fails
Saving Files to OneDrive
From Any Application
When saving a file:
- Click File > Save As
- Look for OneDrive in the save locations
- Choose a folder in OneDrive
- Click Save
Using File Explorer (Windows)
- Open File Explorer
- Look for OneDrive in the left sidebar
- Drag files to OneDrive, or
- Copy and paste files into OneDrive folders
Using Finder (Mac)
- Open Finder
- Look for OneDrive in the sidebar
- Drag files to OneDrive
OneDrive Sync Status
Files show sync status icons:
- Green tick - Synced and available offline
- Blue cloud - Available online only
- Sync arrows - Currently syncing
- Red X - Sync problem
Accessing Files Anywhere
On Another Computer
- Go to onedrive.com
- Sign in with your work account
- Browse and download files
On Your Phone
- Download the OneDrive app
- Sign in with your work account
- Access your files anywhere
Sharing Files
Share a Link
- Right-click the file in OneDrive
- Click Share
- Choose who can access:
- Click Copy link or enter email addresses
Share for Collaboration
For files others need to edit:
- Right-click the file
- Click Share
- Choose Can edit permission
- Send the link
OneDrive Best Practices
Do:
- Keep important files in OneDrive
- Use meaningful folder names
- Check sync status regularly
- Store very large files (video archives)
- Sync your entire computer
- Ignore sync errors
Troubleshooting
Files not syncing?
- Check your internet connection
- Look for sync errors in the OneDrive icon
- Restart OneDrive
- Check your storage quota
- Use "Files On-Demand" to free up space
- Contact IT if you need more storage
