    How to Change Printer Ink or Toner

    When to Replace Ink or Toner

    Your printer will alert you when supplies are low:

    • Warning messages on screen
    • Faded or streaky prints
    • Print quality declines
    • Printer stops printing

    Inkjet Printers (Ink Cartridges)

    Step 1: Open the Printer

    • Turn on the printer
    • Open the front cover or access door
    • The ink carriage usually moves to a replacement position

    Step 2: Remove Old Cartridge

    • Press the release tab or button on the old cartridge
    • Pull the cartridge out
    • Set aside for recycling

    Step 3: Prepare New Cartridge

    • Remove from packaging
    • Take off the protective tape (usually orange or yellow)
    • Don't touch the copper contacts or nozzles

    Step 4: Install New Cartridge

    • Slide the new cartridge into the correct slot
    • Push until it clicks into place
    • Make sure it's secure

    Step 5: Close and Test

    • Close the printer door
    • The printer may run a calibration
    • Print a test page

    Laser Printers (Toner Cartridges)

    Step 1: Open the Printer

    • Turn on the printer
    • Open the front or top cover
    • Locate the toner cartridge

    Step 2: Remove Old Toner

    • Release any latches or handles
    • Slide or lift the toner cartridge out
    • Handle carefully - toner can be messy

    Step 3: Prepare New Toner

    • Remove from packaging
    • Gently shake side to side to distribute toner
    • Remove protective covers and tape

    Step 4: Install New Toner

    • Align with the guides
    • Slide into place
    • Push down or close latches until it clicks

    Step 5: Close and Test

    • Close all covers
    • Printer may calibrate automatically
    • Print a test page

    Tips

    Ordering supplies:

    • Keep spare cartridges on hand
    • Note your printer model when ordering
    • Use genuine or IT-approved cartridges
    Recycling:
    • Many office supply stores accept old cartridges
    • Manufacturer take-back programs often available
    • Don't throw in regular rubbish
    Handling toner:
    • Toner is a fine powder - don't inhale
    • Wash hands if you touch toner
    • Clean spills with a damp cloth (not vacuum)
