Printing from Any Application
Printing works similarly across most programs.
Basic Printing
Using Keyboard Shortcut (Fastest)
- Open your document
- Press Ctrl + P (Windows) or Command + P (Mac)
- Select your printer
- Click Print
Using the Menu
- Click File in the menu bar
- Click Print
- Select your printer
- Click Print
Print Dialog Options
Printer Selection
Choose which printer to use from the dropdown list.
Copies
Enter how many copies you need.
Pages to Print
- All - Print entire document
- Current page - Just the page you're viewing
- Custom range - Enter specific pages (e.g., 1-5, 8, 10-12)
Colour vs Black and White
- Colour - Uses colour ink (more expensive)
- Black and White or Greyscale - Uses only black ink
Double-Sided (Duplex)
- One-sided - Print on one side only
- Two-sided - Print on both sides of paper
Printing from Specific Applications
Microsoft Word
- Press Ctrl + P or click File > Print
- Preview shows how it will look
- Adjust settings and click Print
Web Browsers (Chrome, Edge)
- Press Ctrl + P
- Choose printer or Save as PDF
- Click Print
Emails (Outlook)
- Open the email
- Press Ctrl + P
- Select printer and print
Print Preview
Always check the preview before printing:
- Make sure all content is visible
- Check page breaks look correct
- Verify margins are acceptable
Cancelling a Print Job
If you need to stop a print:
Windows
- Click the printer icon in the system tray
- Right-click the print job
- Click Cancel
Mac
- Click the printer icon in the Dock
- Select the job
- Click the X to cancel
Troubleshooting
Nothing happened?
- Check the correct printer is selected
- Look for the print job in the printer queue
- Make sure printer is online
- Set your preferred printer as default
