    How to Scan a Document and Email It

    Scanning Documents

    Most office printers can also scan documents to email or to your computer.

    Scan to Email (Most Common)

    Most multifunction printers can email scans directly to you.

    At the Printer

    • Place your document on the scanner glass (face down) or in the document feeder (face up)
    • On the printer touchscreen, select Scan or Scan to Email
    • Enter your email address (or select from the address book)
    • Choose format (PDF is usually best)
    • Press Start or Send
    • Check your email for the scanned document

    Scan to Computer

    Windows

    Using Windows Scan app:

    • Place document on the scanner
    • Open the Windows Scan app (search for it in Start)
    • Select your scanner
    • Choose file type (PDF or Image)
    • Click Scan
    • Save the file
    Using the Scanner Software:

    Many printers come with their own software. Check your desktop or Start menu for your printer's app.

    Mac

    • Place document on scanner
    • Open Image Capture app
    • Select your scanner on the left
    • Click Scan
    • Save the scanned file

    Tips for Good Scans

    Before Scanning

    • Remove staples and paper clips
    • Flatten folded pages
    • Clean the scanner glass if smudgy

    Quality Settings

    • Standard (150-200 DPI) - Good for most documents
    • High (300 DPI) - Better for detailed documents or archiving
    • Photo (600+ DPI) - Best for photographs

    File Formats

    • PDF - Best for documents, keeps pages together
    • JPEG - Good for photos, smaller file size
    • PNG - Good quality images

    Scanning Multiple Pages

    Using Document Feeder

    If your printer has a document feeder:

    • Stack pages face-up
    • Select multi-page scan
    • All pages scan into one PDF

    Scanning Page by Page

    If using the flatbed:

    • Scan first page
    • When asked "Scan another page?", select Yes
    • Place next page and repeat
    • Select Done when finished

    Troubleshooting

    Scanner not found?

    • Make sure you're on the office network
    • Restart your computer
    • Install printer/scanner drivers
    Scan quality poor?
    • Clean the scanner glass
    • Increase the DPI setting
    • Make sure document is flat
