How to Add Gmail to Your iPhone or Android Phone

Adding Gmail to Your Mobile Device
Access your work email on the go by adding your Gmail account to your phone.
iPhone and iPad
Option 1: Gmail App (Recommended)
- Download Gmail from the App Store
- Open the app
- Tap Sign in
- Enter your work email address
- Enter your password
- Complete any two-factor authentication
- Allow notifications when prompted
Option 2: Apple Mail App
- Open Settings
- Scroll down and tap Mail
- Tap Accounts
- Tap Add Account
- Select Google
- Sign in with your work email
- Choose what to sync (Mail, Contacts, Calendars, Notes)
- Tap Save
Android Phones
Option 1: Gmail App (Usually Pre-installed)
- Open the Gmail app
- Tap your profile picture (top right)
- Tap Add another account
- Select Google
- Enter your work email address
- Enter your password
- Complete any two-factor authentication
- Tap Accept for permissions
Option 2: Android Settings
- Open Settings
- Tap Accounts (or Users & accounts)
- Tap Add account
- Select Google
- Sign in with your work email
- Follow the prompts
Syncing Calendar and Contacts
When you add your Google account:
On iPhone: During setup, toggle on:
- Contacts
- Calendars
- Settings > Accounts > your Google account
- Tap Account sync
- Ensure Mail, Calendar, Contacts are toggled on
Configuring Notifications
Gmail App (iPhone and Android)
- Open Gmail app
- Tap the menu (three lines)
- Scroll down and tap Settings
- Select your account
- Tap Notifications
- Choose: All, High priority only, or None
Apple Mail (iPhone)
- Settings > Notifications > Mail
- Select your Gmail account
- Configure alerts, sounds, badges
Troubleshooting
Email not syncing?
- Check you have internet connection
- Pull down to refresh
- Check sync settings are enabled
- Verify your password is correct
- Complete two-factor authentication
- Check if your IT admin requires mobile device management
- Check you are looking at the right account
- Check spam/junk folder
- Adjust sync period (Settings > your account > Days of mail to sync)
Security Tips
- Enable a screen lock on your phone
- Use biometrics (fingerprint or face) if available
- Enable remote wipe capability
- Report lost devices immediately to IT
