How to Manage Your Storage Space

Checking Your Storage
Windows
- Open Settings
- Click System > Storage
- See breakdown of what's using space
Mac
- Click Apple menu > About This Mac
- Click Storage
- See colour-coded breakdown
OneDrive
- Click OneDrive icon in system tray
- Click Settings
- View storage used and available
Freeing Up Space
Quick Wins
- Empty Recycle Bin - Right-click Recycle Bin > Empty
- Clear Downloads - Delete old downloads
- Remove temporary files - Disk Cleanup (Windows)
- Uninstall unused apps - Settings > Apps
Windows Storage Sense
Let Windows clean up automatically:
- Settings > System > Storage
- Turn on Storage Sense
- Click Configure Storage Sense
- Set what to clean and when
Mac Optimise Storage
- Apple menu > About This Mac > Storage
- Click Manage
- Review recommendations:
Moving Files to Cloud
Save space by keeping files in the cloud:
OneDrive Files On-Demand
- Right-click OneDrive icon > Settings
- Enable Files On-Demand
- Files show but don't take local space
- Download when you open them
Free Up Space on Specific Files
- Right-click a file in OneDrive
- Select Free up space
- File stays in OneDrive but not on your computer
What's Using Space?
Large Files
Windows:
- Open Storage settings
- Click Temporary files or other categories
- See what's taking space
Duplicate Files
You might have multiple copies of the same file. Review and delete extras.
Old Downloads
Downloads folder accumulates:
- Installers for software
- Email attachments
- Old documents
- Delete what you don't need
Storage Best Practices
Save to Cloud
- Use OneDrive, not local storage
- Files don't fill your computer
- Always backed up
Regular Cleanup
Monthly:
- Review large files
- Clear downloads
- Empty recycle bin
- Delete old projects
Don't Save Everything
Ask yourself:
- Do I need this?
- Is there another copy?
- Will I ever open this again?
When You Need More Space
If you consistently run low:
- Consider external drive for archives
- Request more OneDrive space from IT
- Upgrade computer storage (contact IT)
