    How to Find Missing Emails in Outlook

    Where Missing Emails Hide

    Before assuming an email is lost, check these common places:

    Check These Folders First

    1. Junk/Spam Folder

    Outlook may have filtered the email as spam:

    • Click Junk Email in the left sidebar
    • Look for the missing email
    • If found, right-click and select Not Junk

    2. Deleted Items

    You may have accidentally deleted it:

    • Click Deleted Items
    • Search for the email
    • Right-click and Move to Inbox if found

    3. Archive Folder

    Older emails may have been archived:

    • Click Archive or Online Archive
    • Search within this folder

    4. Other Folders

    Check if a rule moved it to another folder:

    • Look through all your folders
    • Check subfolders you may have created

    Using Search Effectively

    Basic Search

    • Click in the Search box at the top
    • Type keywords, sender name, or subject
    • Press Enter

    Advanced Search

    For better results:

    • Click in the Search box
    • Click Search tab in the toolbar
    • Use filters like:
    - From: sender's email - Subject: specific words - Has Attachments: Yes - Date: specific date range

    Search Tips

    • Use quotes for exact phrases: "project update"
    • Search by sender: from:john@company.com
    • Search by date: received:last week
    • Search attachments: hasattachments:yes

    Recovering Deleted Emails

    If you emptied Deleted Items, you may still recover emails:

    Outlook Desktop

    • Click Deleted Items
    • Click Folder tab
    • Click Recover Deleted Items
    • Select emails to recover
    • Click Restore Selected Items

    Outlook Web

    • Click Deleted Items
    • Click Recover items deleted from this folder
    • Select and restore emails
    Note: Emails can only be recovered within 14-30 days of deletion.

    Still Cannot Find It?

    If you still cannot locate the email:

    • Ask the sender to resend it
    • Check if the sender's email went to spam on their end
    • Contact IT if you suspect a technical issue
