Device Management, M365 & Backup for NDIS Providers

Manage iPads and laptops centrally, deploy Teams Phone, structure SharePoint properly, and protect your data with reliable backups and disaster recovery.

TL;DR — NDIS Device Management in 60 Seconds

We manage your devices centrally using Microsoft Intune — iPads, laptops, phones all controlled from one place. Windows Autopilot means new devices set themselves up when staff sign in. Teams Phone replaces traditional phone systems at lower cost. SharePoint is structured so your team can actually find files. Most importantly, Microsoft 365 data is backed up properly (Microsoft does not do this for you) with tested disaster recovery. Based in Queensland, we support NDIS providers across Brisbane, Gold Coast, and remotely Australia-wide.

Managing Devices Across Care Settings Is Complex

NDIS providers have unique IT challenges that generic solutions do not address. Support workers use iPads in participants' homes to record notes, check schedules, and access care plans. Coordinators work from multiple locations — the office, home, and client meetings. Admin staff need access to participant records securely from shared workstations. Everyone needs their devices to just work, without constant IT issues slowing down care delivery.

Without proper device management, you end up with inconsistent setups where every device is configured differently. Security gaps appear because nobody knows which devices have antivirus, encryption, or the latest updates. IT staff spend hours manually configuring each new device instead of supporting the organisation. When a device is lost, you cannot be sure participant data is protected. When staff leave, you cannot easily recover company data from their devices.

Then there is the data challenge. Files scattered across personal devices, email attachments, and local folders that are not backed up. If a laptop fails or is stolen, work is lost. If ransomware hits, you may discover that "the cloud" does not actually protect your data the way you assumed. And finding files becomes a treasure hunt because there is no consistent structure.

We help NDIS providers implement modern device management and Microsoft 365 solutions that keep every device secure and consistent, make IT support easier, ensure data is properly protected and recoverable, and give you confidence that participant information is safe no matter where your team works.

Intune: Manage All Devices From One Place

Microsoft Intune is included in Microsoft 365 Business Premium and gives you centralised control over all your devices. No more manually configuring each laptop, hoping staff iPads are secure, or wondering which devices have the latest updates.

For NDIS providers, this is transformative. Your support workers' iPads are automatically configured with the apps they need. Security policies are enforced without relying on staff to configure things correctly. Lost devices can be wiped remotely. New devices configure themselves. And you have visibility into your entire device fleet.

    Automatic App Deployment

Apps pushed to devices automatically. No staff interaction required. Updates deployed when ready, not when staff remember to update.

    Security Policy Enforcement

Encryption, passcodes, antivirus, and compliance settings enforced automatically. Non-compliant devices blocked from company data.

    Remote Wipe for Lost Devices

Lost or stolen device? Wipe company data remotely within minutes. For personal devices, wipe only work data while preserving personal content.

    Device Inventory & Compliance

See all your devices in one dashboard. Know which are compliant, which need updates, and which have not checked in recently.

    iPad Management for Field Workers

Special considerations for support workers using iPads in the community:

    • Deployed via Apple Business Manager — no personal Apple ID needed
    • Work apps installed automatically, updates pushed silently
    • App protection policies separate work and personal data
    • Passcode and encryption enforced automatically
    • Remote wipe if device is lost or staff member leaves
    • Shared iPad mode for devices used by multiple staff
    • Kiosk mode to restrict to specific apps if needed
    • Offline capability for areas with poor connectivity
    • Location tracking (optional) for device recovery
    • Battery and storage monitoring

    Standard Builds for Every Device

We create standard configurations for each device type in your organisation. Every laptop, iPad, and phone gets the same apps, settings, and security — deployed automatically without manual IT intervention.

Standard builds mean no surprises. When a staff member moves from one desk to another, the computer works the same way. When you hire someone new, they get a device that is ready for work, not a blank slate that needs hours of setup. When we provide support, we know exactly how the device should be configured.

    Consistency

Every device has the same apps, settings, and security. No surprises when staff move between computers.

    Security

Security policies applied automatically. Encryption, antivirus, and updates configured from day one.

    Speed

New devices ready in hours, not days. Staff productive immediately without waiting for IT setup.

    SharePoint Structures That Actually Work

Most NDIS providers have SharePoint but struggle to use it effectively. Files are hard to find, access controls are confusing, and staff resort to email attachments. We design structures that make sense.

    By Program/Service

Separate sites for each program (e.g., Support Coordination, Plan Management, SIL)

Best for: Organisations with distinct programs and separate teams

    By Location

Sites for each office or region with shared resources at the top level

Best for: Multi-site organisations where teams are location-based

    By Function

Sites for Operations, HR, Finance, Clinical with cross-program access

Best for: Smaller organisations or those with integrated service delivery

    Participant-Centric

Folder structures organised around participant records with appropriate access

Best for: Organisations requiring strict participant record separation

    Our SharePoint Implementation Includes

    Structure Design

    • • Site and library architecture
    • • Folder naming conventions
    • • Metadata and tagging strategy
    • • Navigation and quick links

    Access Controls

    • • Role-based permissions
    • • Security groups setup
    • • External sharing policies
    • • Sensitive content protection

    User Adoption

    • • Quick reference guides
    • • Migration from old locations
    • • Ongoing support

    Comprehensive Backup Protection

Microsoft 365 does not backup your data the way most people assume. Deleted files disappear permanently after 93 days. Ransomware syncs encrypted files to the cloud. We protect you with proper backup and tested recovery.

    Device Management & M365 FAQs

What is Intune and why do we need it?

Microsoft Intune is a cloud-based device management platform included in Microsoft 365 Business Premium and Enterprise plans. It lets us manage all your devices — Windows, Mac, iOS, Android — from one central console. We can push apps automatically, enforce security policies (like requiring encryption and passcodes), configure settings consistently, and even wipe lost devices remotely. For NDIS providers with staff using iPads in the field, it is essential for maintaining security and compliance without physically touching each device.

    How does Windows Autopilot work?

When you buy a new laptop, your device supplier registers it with your organisation. When a staff member first turns it on and signs in with their work account, the device automatically downloads all their apps, applies security settings, joins your systems, and configures everything according to your standard build. They can be working within an hour — no IT visit required, even if they are working remotely. This also works for resetting existing devices — reset to factory and Autopilot rebuilds it fresh.

Can we use iPads for participant care and keep them secure?

Absolutely. We deploy iPads through Apple Business Manager and manage them with Intune. Your care apps are pushed automatically to every iPad without staff needing Apple IDs. Personal apps can be separated from work apps using app protection policies. If a device is lost, we can remotely wipe the work data while leaving any personal data intact (if it is a personal device). Participants' information stays protected even on mobile devices in the field.

How does Teams Phone replace our current phone system?

Teams Phone uses your internet connection for calls instead of traditional phone lines. We port your existing phone numbers so clients call the same number they always have. Staff can answer from their computer, mobile app, or a dedicated Teams desk phone. Features include auto-attendant (press 1 for support, 2 for accounts), call queues for teams, voicemail transcription sent by email, call forwarding, and call recording for compliance. Most organisations save money compared to traditional phone systems while gaining flexibility for remote work.

How should we structure SharePoint for NDIS compliance?

The best structure depends on your operations. We typically create a hierarchy with sites for each program or location, with document libraries for participant records, policies, HR documents, templates, and operational information. Access is controlled by role and group membership — coordinators see their program's files, admin sees admin areas, and management has broader access. Participant records can be secured so only authorised staff access specific participant information. This supports compliance requirements while keeping files findable.

Is Microsoft 365 backup really necessary?

Yes, and this surprises many people. Microsoft's own data protection has significant gaps. Deleted items only stay in recycle bins for 93 days maximum. If ransomware encrypts your files, the encrypted versions sync to OneDrive and SharePoint. If a staff member accidentally or maliciously deletes important files, you may not discover it within the retention window. Our backup captures everything three times daily with 12-month retention in a separate location. If you need to recover a file from 6 months ago, or restore an entire mailbox, you can.

What happens if our office is destroyed?

With our disaster recovery approach, you can continue operating from anywhere. Microsoft 365 data (email, files, Teams) is already in the cloud. Our backups are stored in Australian data centres separate from your production data. Staff laptops are configured through Autopilot — buy new hardware anywhere and it configures automatically when staff sign in. We document recovery procedures with realistic timeframes so you know exactly what to expect and how long recovery takes for different scenarios.

How do remote workers securely access participant records?

We implement secure remote access using VPN or Microsoft's conditional access depending on your setup. Staff authenticate with multi-factor authentication, and access is controlled based on device compliance (is the device encrypted, protected, up to date?), location (is this a known location or somewhere unexpected?), and role (does this person need access to this information?). Participant records stay protected whether staff are in the office, working from home, or visiting clients in the community.

What is a standard build and why does it matter?

A standard build is a predefined configuration for each device type in your organisation. Every Windows laptop gets the same apps, settings, security policies, and configurations. Every iPad gets the same setup. This matters because it ensures consistency (staff know what to expect), security (nothing is missed), speed (new devices are ready quickly), and supportability (we know exactly how devices are configured). It also reduces costs by eliminating manual setup time for each device.

How long does it take to recover from a disaster?

Recovery time depends on the scenario. For a single file recovery, typically under an hour. For a full mailbox or OneDrive restore, 2-4 hours. For a complete Microsoft 365 tenant restore, 1-2 business days. For physical office loss requiring new hardware, 1-3 days to get core operations running (staff can work from personal devices immediately if needed). We document these recovery time objectives (RTOs) for your business continuity planning and test them regularly.
