Common questions about managed backup

Is Microsoft 365 or Google Workspace data already backed up?

No — and this is the single biggest backup gap we walk into. Microsoft and Google protect against their own data centre outages and their own hardware failures. They do not protect you against accidental deletion, a compromised mailbox emptying itself, ransomware encrypting your synced files, or a staff member purging a SharePoint or Google Drive folder. Both platforms' terms of service make this clear: you are responsible for protecting your data. What is immutable backup and why does it matter?

Immutable backup means the off-site copy of your data is written once and cannot be modified or deleted — even by an administrator with valid credentials, even by ransomware that has compromised your network — until its retention period expires. Modern ransomware actively hunts for backup repositories and deletes them before encrypting your live data, knowing that without backups you are far more likely to pay. Immutable storage is the single most important defence against that — and is the difference between "we lost a day" and "we lost the business".

How often do you test restores?

Every quarter, at minimum, and after every major change to your environment. We pick a sample of files, mailboxes, virtual machines and SaaS items and restore them to a test location to prove the backup actually works. Backups that have never been restored are not backups — they are unverified files in a folder somewhere. Most backup providers stop at "the job ran successfully" — we keep going until the data is actually back.

We have already lost data — can you help us recover it?

Honestly: if there is no existing backup of the lost data, we cannot bring it back. Managed backup is about preventing future data loss, not recovering data that was never backed up in the first place. What we can do — and do quickly — is get proper, monitored, immutable backups in place so you do not lose any more. Once your data is in our managed backup, ransomware cannot reach or encrypt those off-site copies because they are immutable (write-once, cannot be modified or deleted, even by an attacker with admin credentials), so even a full ransomware event on your live network cannot destroy the backup you can restore from.

How quickly can you restore after ransomware or an outage?

For most clients, single-file or single-mailbox restores happen within minutes. For full server or workstation restores, recovery times depend on the volume of data and your internet connection — typically a few hours for a workstation and same business day for most servers. We document a Recovery Time Objective (RTO) and Recovery Point Objective (RPO) per system as part of the rollout, so you know in advance how quickly each workload will come back and how much data you might lose between backups.

Do you back up Macs and Linux servers?

Yes. We protect Windows desktops and laptops, Mac laptops, Windows and Linux servers (physical and virtual) and cloud SaaS like Microsoft 365 and Google Workspace. The same monitoring and tested-restore standards apply across every system — not just the easy ones. Note: we do not back up NAS devices directly — if business-critical data lives on a NAS we will help you restructure where that data sits so it can be properly protected.

How much storage is included and what does extra storage cost?

Workstation, laptop and server backups include 500GB of storage per device — storage is per-device, not pooled across your fleet. In our experience, most workstations and laptops stay well under the 500GB included allowance, so the vast majority of clients never see an overage. If a device does exceed its 500GB allowance, additional storage is billed in 100GB blocks at $25 ex GST per 100GB per month. So if a workstation backup uses 505GB, you are billed for one additional 100GB block. Microsoft 365 and Google Workspace backups include unlimited storage — there are no per-GB or per-mailbox overage charges no matter how big a tenant grows.
