    How to Work with ZIP Files

    What Are ZIP Files?

    ZIP files are compressed folders that:

    • Combine multiple files into one
    • Make files smaller for easier sharing
    • Are common for downloads and email attachments
    They have a .zip extension and often look like folders with a zipper.

    Extracting (Opening) ZIP Files

    Windows

    Method 1: Right-Click Extract

    • Right-click the ZIP file
    • Click Extract All
    • Choose where to extract
    • Click Extract
    Method 2: Double-Click
    • Double-click the ZIP file
    • You can view files inside
    • Drag files out or copy them

    Mac

    • Double-click the ZIP file
    • Contents extract to a folder automatically
    • The folder appears next to the ZIP

    Creating ZIP Files

    Windows

    • Select files you want to compress
    • Right-click the selection
    • Click Compress to ZIP file (or Send to > Compressed folder)
    • Name the ZIP file

    Mac

    • Select files to compress
    • Right-click (or Control-click)
    • Click Compress [number] Items
    • A ZIP file is created

    When to Use ZIP Files

    Good Uses

    • Emailing multiple files at once
    • Reducing file size for sharing
    • Downloading software or document collections
    • Archiving old files

    When to Avoid

    • For single files (usually unnecessary)
    • When recipient might not know how to extract
    • For very large files (consider cloud sharing instead)

    Common Issues

    Can't Open ZIP File

    • May need to download completely first
    • Try right-click > Extract instead of double-click
    • File might be corrupted

    ZIP File Is Too Large

    Consider:

    • Splitting into multiple ZIP files
    • Using cloud sharing (OneDrive) instead
    • Removing unnecessary files

    Files Won't Compress Much

    Some files don't compress well:

    • Photos (already compressed)
    • Videos (already compressed)
    • PDFs (often already compressed)
    Documents and text files compress very well.

    Password-Protected ZIP Files

    Some ZIP files require a password:

    • When extracting, you'll be prompted for password
    • Enter the password provided by the sender
    • Files extract normally

    Creating Password-Protected ZIP

    Windows doesn't support this natively. You would need third-party software (ask IT if needed).

    ZIP vs Other Formats

    • ZIP - Most common, works everywhere
    • RAR - Needs special software
    • 7Z - Better compression, needs special software
    For most purposes, stick with ZIP - it works on any computer.
