    How to Sync Files with OneDrive

    What is OneDrive Sync?

    OneDrive sync keeps files identical across:

    • Your computer
    • The cloud (OneDrive.com)
    • Other devices (phone, tablet, other computers)
    Change a file anywhere, and it updates everywhere.

    Setting Up OneDrive Sync

    Check If OneDrive Is Running

    Look for the OneDrive cloud icon in your system tray (bottom right on Windows, menu bar on Mac).

    • Blue cloud = Signed in
    • Grey cloud = Not signed in
    • No icon = OneDrive not running

    Sign In to OneDrive

    If not signed in:

    • Search for OneDrive in Start menu
    • Open the app
    • Enter your work email
    • Enter password
    • Follow setup prompts

    Choosing What to Sync

    Files On-Demand

    OneDrive can show files without downloading them all:

    • Right-click OneDrive icon
    • Click Settings
    • Go to Sync and backup tab
    • Enable Files On-Demand

    File Status Icons

    • ☁️ Cloud icon = Online only (downloads when you open)
    • Green tick = Available on this device
    • 🔄 Sync icon = Currently syncing

    Make Files Always Available

    For files you need offline:

    • Right-click the file
    • Select Always keep on this device

    Syncing Desktop and Documents

    Protect your important folders:

    • Click OneDrive icon
    • Settings > Backup > Manage backup
    • Toggle on Desktop, Documents, Pictures
    • Click Start backup
    Now these folders sync to OneDrive automatically.

    Understanding Sync Status

    OneDrive Icon Meanings

    • Blue cloud = Ready, everything synced
    • Blue arrows = Syncing in progress
    • Red circle with X = Problem syncing (click to see)
    • Pause icon = Syncing paused

    When Files Won't Sync

    Common reasons:

    • File is open in a program
    • File name has invalid characters
    • File path is too long
    • No internet connection

    Troubleshooting Sync Issues

    Restart OneDrive

    • Right-click OneDrive icon
    • Click Pause syncing > Quit OneDrive
    • Search for OneDrive and open it again

    Check for Errors

    • Click OneDrive icon
    • Look for files with issues
    • Click to see details and fix

    Reset OneDrive (Last Resort)

    Best Practices

    • Keep OneDrive running
    • Don't interrupt large syncs
    • Check sync status before closing laptop
    • Save directly to OneDrive folders
