    How to Set Up Two-Factor Authentication for Google

    Why Use Two-Factor Authentication?

    Two-factor authentication (2FA), also called two-step verification, adds an extra layer of security. Even if someone discovers your password, they cannot access your account without the second factor.

    Setting Up 2FA for Google

    Step 1: Access Security Settings

    • Go to myaccount.google.com
    • Click Security in the left menu
    • Under "How you sign in to Google", find 2-Step Verification
    • Click Get started

    Step 2: Verify Your Identity

    • Enter your password to confirm
    • Click Next

    Step 3: Choose Your Second Factor

    Google offers several options:

    Google Prompts (Recommended):

    • Notifications sent to your phone
    • Simply tap "Yes" to approve sign-ins
    • Requires the Google app or Gmail app
    Authenticator App:
    • Use Google Authenticator or similar app
    • Generates time-based codes
    • Works offline
    Text Message or Phone Call:
    • Receive codes via SMS
    • Less secure but widely available
    • Good as a backup option
    Security Key:
    • Physical USB or Bluetooth device
    • Most secure option
    • Requires purchasing hardware

    Step 4: Set Up Google Prompts

    If using Google Prompts:

    • Ensure you have the Google or Gmail app installed
    • Sign in to the app with your work account
    • Click Continue in the security settings
    • A test prompt is sent to your phone
    • Tap Yes on your phone
    • Click Turn on to enable

    Step 5: Add Backup Options

    Always set up backup methods:

    • After enabling 2FA, return to security settings
    • Under 2-Step Verification, add:
    - Backup codes (print and store safely) - Backup phone number - Alternative authenticator app

    Using 2FA Daily

    When you sign in from a new device:

    • Enter your email and password
    • A prompt appears on your phone, OR
    • Enter the code from your authenticator app
    • Access is granted
    Trusted devices: You can mark devices as trusted to reduce prompts.

    Generating Backup Codes

    Backup codes are essential if you lose your phone:

    • Go to myaccount.google.com > Security
    • Click 2-Step Verification
    • Scroll to Backup codes
    • Click Show codes or Get new codes
    • Print or securely save these codes
    Each code can only be used once.

    If You Are Locked Out

    If you cannot access your second factor:

    • Use a backup code
    • Use a backup phone number
    • Contact IT support for account recovery

    Troubleshooting

    Not receiving prompts?

    • Check internet connection on phone
    • Ensure Google/Gmail app is installed and signed in
    • Check notification settings
    Authenticator code not working?
    • Check the time on your phone is correct
    • Codes refresh every 30 seconds
    • Make sure you are using the right account
