    How to Set Up Focus Mode to Avoid Distractions

    Reduce Distractions with Focus Mode

    Constant notifications break your concentration. Windows has built-in tools to help you focus when you need uninterrupted time.

    Windows 11 Focus Mode

    Windows 11 has a dedicated Focus feature that silences notifications and helps you concentrate.

    Starting a Focus Session

    • Click the time and date in the taskbar (bottom right)
    • Click Focus in the quick settings panel
    • Choose how long you want to focus (15 minutes to 4 hours)
    • Click Start focus session
    During focus:
    • Notifications are silenced
    • Taskbar badges are hidden
    • A timer shows your remaining focus time

    Customising Focus Settings

    • Open Settings (Windows key + I)
    • Go to System > Focus
    • Adjust these options:
    - Show timer in Clock app - Hide badges on taskbar apps - Hide flashing on taskbar apps - Turn on do not disturb

    Ending Focus Early

    Click the time in the taskbar and click End focus session if you need to stop early.

    Do Not Disturb Mode

    Do Not Disturb silences notifications without the timer features.

    Turning On Do Not Disturb

    Quick method:

    • Click the time and date in the taskbar
    • Click the Do not disturb icon (bell with line through it)
    From Settings:
    • Open Settings > System > Notifications
    • Toggle Do not disturb on

    Automatic Do Not Disturb

    Set Do Not Disturb to turn on automatically:

    • Open Settings > System > Notifications
    • Click Turn on do not disturb automatically
    • Choose when to activate:
    - During certain hours - When duplicating your display (presentations) - When playing a game - When using an app in full screen

    Priority Notifications

    Even in focus mode, you might need certain notifications to come through.

    Setting Priority Apps

    • Open Settings > System > Notifications
    • Click Set priority notifications
    • Add apps that should always notify you (like phone calls or urgent messages)
    • Add people whose notifications should come through

    Alarms Always Ring

    Alarms and timers will still work during focus mode, so you will not miss important reminders.

    Focus in Microsoft 365

    Microsoft apps have their own focus features.

    Microsoft Teams Status

    Set your Teams status to reduce interruptions:

    • Click your profile picture in Teams
    • Click your current status
    • Select Do not disturb or set a custom status
    • Notifications will be silenced

    Outlook Focused Inbox

    Outlook separates important emails:

    • Open Outlook
    • Go to View > Show Focused Inbox
    • Important emails appear in Focused tab
    • Less important emails go to Other tab

    Viva Insights Focus Time

    If your organisation uses Viva Insights:

    • It can automatically book focus time in your calendar
    • Your status changes to Focus during these times
    • Teams notifications are muted

    Tips for Effective Focus Time

    Block Time in Your Calendar

    • Schedule focus time as a meeting with yourself
    • This prevents others from booking over your focus time
    • Set it as Busy or Out of Office

    Batch Similar Tasks

    • Check emails at set times, not constantly
    • Group meetings together when possible
    • Save focus time for deep work

    Remove Physical Distractions

    • Close unnecessary browser tabs
    • Put your phone face down or in a drawer
    • Consider headphones (even without music) as a signal to others

    Take Breaks

    • Do not try to focus for hours without breaks
    • Use the Pomodoro technique: 25 minutes focus, 5 minutes break
    • Move around during breaks

    Notification Management

    Turn Off Non-Essential Notifications

    • Open Settings > System > Notifications
    • Scroll down to see all apps
    • Turn off notifications for apps that distract you
    • Consider keeping only email, calendar, and communication apps

    Customise by App

    For each app, you can customise:

    • Whether it shows banners
    • Whether it plays sounds
    • Whether it shows in notification centre

    When Focus Mode Helps

    • Writing reports or documents
    • Preparing presentations
    • Analysing data
    • Learning something new
    • Before important deadlines
