    How to Fix "File Is In Use" Errors

    What Does "File In Use" Mean?

    This error appears when:

    • Someone else has the file open
    • Another program on your computer has the file open
    • The file is locked for editing
    • A previous session didn't close properly

    Finding Who Has the File

    Check for Co-Authors

    In Microsoft 365 apps (Word, Excel, PowerPoint):

    • Look at the top of the document
    • You may see other users' names/initials
    • They're currently editing the file

    Ask Your Team

    Simply ask:

    • "Does anyone have [filename] open?"
    • Often the quickest solution

    Solutions

    1. Open Read-Only

    If you just need to view the file:

    • When prompted, choose Open Read-Only
    • You can view but not save changes
    • Use Save As with a different name if you need to edit

    2. Wait and Try Again

    If someone else is actively editing:

    • Wait a few minutes
    • Try opening again
    • The other person may have finished

    3. Close Your Other Copies

    You might have it open yourself:

    • Check if you have the file open in another window
    • Look in the taskbar for multiple instances
    • Close extra copies

    4. Restart the Application

    The application might think the file is open when it's not:

    • Close the application completely
    • Reopen the application
    • Try opening the file again

    5. Restart Your Computer

    If the file is stuck:

    • Save and close all other work
    • Restart your computer
    • Try opening the file

    For Shared Files (OneDrive/SharePoint)

    Co-Authoring

    Modern sharing allows multiple editors:

    • The file opens normally
    • You see others' edits in real time
    • No "file in use" error
    If you get the error with cloud files:
    • The file might be an older format
    • Someone might have locked it
    • Try saving as a modern format (.docx, .xlsx)

    Check Out Feature

    Some SharePoint files can be "checked out":

    • Only one person can edit at a time
    • Check if someone has it checked out
    • Ask them to check it back in

    Preventing This Issue

    Save to Cloud

    OneDrive and SharePoint support co-authoring:

    • Multiple people can edit simultaneously
    • No "file in use" errors
    • Real-time collaboration

    Don't Leave Files Open

    • Close files when not actively using them
    • Save and close at end of day
    • Don't keep files open while in meetings
