Tips for a Good Profile Photo

    Do:

    • Use a clear, recent photo of your face
    • Ensure good lighting
    • Have a plain or professional background
    • Smile naturally
    • Wear what you would wear to work
    Avoid:
    • Blurry or pixelated images
    • Group photos
    • Photos from very far away
    • Distracting backgrounds
    • Sunglasses or hats that obscure your face

    Syncing Across Microsoft 365

Your Teams profile picture syncs with:

    • Outlook
    • SharePoint
    • OneDrive
    • Other Microsoft 365 apps
It may take a few minutes to an hour for changes to appear everywhere.

    Common Issues

    Picture Not Changing

    • Sign out of Teams and sign back in
    • Wait up to an hour for sync
    • Clear the Teams cache:
    1. Close Teams completely 2. Press Windows + R 3. Type %appdata%\Microsoft\Teams 4. Delete the Cache folder 5. Restart Teams

    Cannot Upload Picture

    • Check the file size (under 4MB)
    • Try a different image format (JPG usually works best)
    • Ensure your organisation allows profile picture changes
    • Check with IT if picture uploads are restricted

    Picture Appears Blurry

    • Use a higher resolution image (at least 400 x 400 pixels)
    • Avoid enlarging small images
    • Take a new photo with good lighting

    Organisation Policies

    Some organisations may:

    • Require profile pictures to meet certain standards
    • Restrict who can change profile pictures
    • Set default pictures from HR systems
    • Use directory sync that overrides manual changes
Check with your IT team if you cannot change your picture.

    Remove Your Profile Picture

    • Click your profile picture
    • Click Change picture
    • Click Remove picture

    Mobile

    • Tap your profile
    • Tap your picture
    • Select Remove photo
When you remove your picture, Teams displays your initials on a coloured background.
